Tasks: suggested changes, rules and history
Tasks: suggested changes, rules and history Every board has four tabs: Board,
Suggested changes, Rules and History. This article covers the last three, and
how to pause, resume or archive a board. For the Board tab, see Tasks: boards
and cards. Tasks comes with the Kipwise Premium and Branded plans, and with
the Kipwise Agent while its trial or paid plan is active. Installing the Agent
puts a workspace that is not on Premium or Branded onto Premium. On another
plan, a team admin can turn Tasks on by upgrading to Premium in Settings >
Plans & Billing. Admins find the Tasks settings in Tasks. Questions about your
plan? Contact [email protected]. Suggested changes When someone rejects a
card and says what should change, the agent drafts a change to the board's
steps. The draft appears on the Suggested changes tab. The tab shows how many
are waiting for a decision, for example Suggested changes (1). Each change
shows: A title such as Change after "Refund: Noah Fischer, late request",
which names the card that was rejected, and a short summary. A state: Being
drafted, Needs a decision, Approved, Applied, Declined, Replaced or Failed.
What changes, step by step. The old text is struck through in red and the new
text is in green. Warnings, when they apply. It could undo an earlier decision
names the rule it would undo. An approved card ... would not pass the new
check names an approved card that the new wording would turn down. Decide on a
change Only the person the agent sent the suggestion to can decide it. Admins
cannot decide for them. Everyone else sees who decides, and that they decide
from the buttons in Slack. If it is you, choose one: Approve: the change is
applied to the board. If it could undo an earlier decision, the app asks "This
could undo an earlier decision. Approve it anyway?" Click Approve anyway to
continue. Ask for a different change: write what the agent should do instead
under What should it do instead? and click Ask the agent. The agent drafts a
new suggestion. Decline: nothing changes. Undo an applied change A board owner
or admin sees Revert on a change that was applied, as long as it is still the
board's latest version. Click it to go back to the version before it. You can
let Kipwise Agent apply suggested changes without asking. See Tasks settings.
Rules Open the Rules tab to see the rules the board follows. Every step reads
them before it works. Each rule has a label: Rule: someone added it here.
Feedback: it came from a rejection. Approved change: it came from a suggested
change you approved. A rule also shows which steps it applies to (All steps or
step names), who made it and when. A retired rule is dimmed and marked
"retired". To add a rule: Type it in the box, for example "Always link the
pricing page." A rule can be up to 1,000 characters. Choose All steps, or one
step. Click Add. Anyone can add a rule. Board owners and admins click Retire
next to a rule to stop the board following it. History The History tab has two
lists. What started cards shows each time something tried to start a card, and
what happened: When: how long ago. From: what sent it, for example "When
Kipwise Support sends an event" or "On a schedule". Result: Card created,
Didn't match, Already a card, Over the hourly limit, Board paused or Failed.
Reason: a short sentence, for example "The ticket is not a billing issue."
Versions lists every version of the board with how it was made (Edited,
Approved change, Applied change, Revert or Copy), who approved it and when.
Board owners and admins see Revert next to every version except the current
one. Click it to go back to that version. Pause, resume or archive a board
Board owners and admins can open the ... menu at the top right of the board:
Pause the board: the board makes no new cards. A banner says "The board is
paused." and the board has a Paused label in the side menu. Turn it back on:
click it in the menu or in the banner. Archive: click Archive, then click
Archive again under "Archive the board and stop its cards for good?" You go
back to Tasks, and the board is no longer listed. All boards also pause by
themselves when the monthly credit limit for Tasks is reached. They stay
paused until the 1st of the next month. See Tasks settings.
